We are currently seeking a Legal Administrator to join our group, Legal Support Services. The Legal Administrator will be responsible for carrying out administrative services, providing support to the legal team, and ensuring work completed is in compliance with company and legal regulations. The Legal Administrator will manage assigned files to complete the delivery of legal and/or non-legal documents according to the client Service Level Agreement (SLA) requirements. The Legal Administrator will correspond regularly with clients providing updates and timely responses for their matters. The Legal Administrator will also be required to prepare Affidavits and/or Affidavits of Attempted Service in accordance with applicable court jurisdiction procedures and requirements.

The Legal Administrator is accountable for the management of the portfolio assigned to them in accordance with the time standards defined in the SLA and by the Legal Support Services group, including adhering to company policy and procedures and delivering quality service at all times.

Responsibilities

  • Handling communications with clients, legal staff, process servers, vendors; liaising with external and internal clients on administrative issues
  • Draft and complete, or facilitate the completion of Affidavits relating to completed process serving of legal documents to our clients
  • Develop and manage the administration of the process serving and court filing portfolio in strict confidence and in compliance with timelines set out by our clients
  • Inputs data and information in a timely and accurate manner into the web-based information systems to help improve administrative processes for more efficient workflow
  • Liaison with and support process servers, vendors, management
  • Adhere to service level agreements and fee schedules for all clients when completing work
  • Provide administrative support to management and other team members
  • Assist in ensuring quality work and processes are adhered to while delivering responsive service and fair pricing

Knowledge/Skills/Abilities:

  • Minimum two (2) years legal work experience, successful completion of a Legal Assistant/Law Clerk/Paralegal program, or combination of both legal experience and education
  • Experience working with Small Claims Court, Superior Court, and the Landlord and Tenant Board
  • Knowledge of inter-provincial judicial processes and procedures an asset
  • Strong organizational and time management skills to ensure strict deadlines are met
  • Ability to work in a fast-paced environment, to take direction and work independently with minimal or no supervision
  • High level of computer proficiency (advanced Microsoft Office, Adobe, document management systems)
  • Strong written and verbal English communication skills; typing speed of 60
  • Client service skills including correspondence, updates, follow-ups, value adds; ability to adjust to changing priorities
  • Exhibit strong work ethic, adaptability, accountability, and team player attitude with a professional manner
  • Knowledge of multi-provincial affidavit preparation and procedures a strong asset
  • Written and verbal French communication considered an asset
